You did the work, now make sure you get paid for it. A producer invoice is the document that turns "you owe me" into a dated request with an amount, a description, and a due date on it. This free template gives you a professional, ready-to-send invoice for any beat sale, production fee, or session payment, with the fields that make a payment enforceable rather than optional.

Written by Adam Freedman, a music attorney with more than 10 years of experience, admitted in New York.

Where does this fit?

The short answer: the invoice bills for the work, the agreement defines the deal, and the recovery guide is for when neither one gets you paid. The row highlighted below is this page.

What's included

  • Producer and client information fields: your name or entity, the client's name, and billing address
  • Project description line items: itemize beats, session fees, licensing fees, or any combination
  • Payment terms: due date, accepted payment methods, and late payment provisions
  • Track or song reference: a field identifying exactly which recordings the payment covers
  • Invoice number and date: for clean recordkeeping and for your accountant
  • Notes field: space to reference the underlying producer agreement or the deal terms it came from

Why a proper invoice matters

No paper trail: without a written invoice, a dispute about whether you were paid, and for what, comes down to two memories.

Vague descriptions: "production" on a bank transfer does not tell anyone which beats or which sessions were covered, which matters when only some of them were.

No due date: an invoice without stated terms is treated as optional, and the timeline stretches until someone forces it.

Billing the wrong entity: paying the person who booked you is not the same as billing the company that holds the money. The invoice fields make you name the payor, which is the first thing that has to be right if the payment ever gets chased.

Who this is for

  • Independent producers billing for beat placements, session production, and custom commissions.
  • Session musicians who need a clean invoice for studio session payments.
  • Any music professional being paid informally who wants a paper trail for the work.

Frequently asked questions

Is this invoice template free?
Yes. Download it at no cost.

Does this replace a producer agreement?
No. An invoice documents a payment. It says nothing about who owns the master, what the royalty is, or how publishing splits, which are the terms that actually govern the relationship. Use it alongside a Producer Agreement Template, never instead of one.

What if the invoice goes unpaid?
Start with what to do when you have not been paid for a placement. If polite follow-ups have already failed, The Royalty Recovery System is the full written escalation, including a fill-in demand letter.

Should I charge late fees?
The template includes a late payment provision. Whether a late fee is enforceable depends on your state and on whether the client agreed to it, which is another argument for having the agreement in place before the invoice.

What format is the file delivered in?
Microsoft Word (.docx), editable and printable on any device.
